Payments
An active credit card is required on file to process any balances on your account. Payments are due at the time of session. We have the right to cancel future sessions to avoid accruing debt in the event you are unable to clear a balance and we have not come to an agreement for repayment.
Good Faith Estimate
Under this law, you have the right to an estimate of expected charges prior to starting therapy. You can request a Good Faith Estimate before you schedule a service or at any time during treatment. Under the law, if you receive a bill that is at least $400 more than your Good Faith Estimate, you can dispute the bill. Make sure to save a copy or picture of your Good Faith Estimate when received. For questions or more information about your rights, or how to dispute a bill visit www.cms.gov/nosurprises
Insurance
We are in network with Aetna. You are responsible to contact your insurance company by calling member services at the back of your card to ensure that your insurance is active and that you have Behavioral Health benefits through Aetna prior to starting therapy. An Aetna representative is the best person to quote you costs for therapy and making this call is highly encouraged to avoid surprises. If at any point your insurance plan or terms change email and let us know as this is not something we get informed about.
Out of Network Reimbursement
If you have out of network benefits through your health insurance provider, you can use this to get reimbursed for sessions. How this works is that you would pay us for your session and we will email you a receipt that has all items required by insurance (known as a superbill). We cannot guarantee reimbursement as this decision lies with your insurance provider. We recommend contacting them to understand payments owed under your specific plan and how to submit your receipts. A few things to ask:
- How much do you reimburse for mental health outpatient therapy?
CPT Codes: 90837, 90791 Modifier: GT (for telehealth sessions)
- Do you cover telehealth (video) sessions?
- Is there a deductible I need to meet before getting reimbursed?
- Where do I submit superbills? (address, email, portal)
- Do you offer Single Case Agreements?

Contacting Your Therapist
If you need to contact your therapist use secure messaging on your client portal to send a message. This is not for urgent or crisis matters as the best person to contact in an emergency event would be someone who can help you in the moment and immediately. Depending on your safety needs this would be a 911 call, crisis line text or call 988, go to the nearest emergency room or reach out to your emergency contact or a trusted person. Once you take care of yourself, please leave a message for your therapist so that we can schedule a session at our earliest.
No texts please. Text message and email communication is not secure nor compliant with HIPAA law.

Ending Therapy
Ending a relationship can bring up some feelings. Therefore, it is important to have a termination process that closes our work together in an appropriate manner. This will look different for each person, depending on the length and intensity of our work together.
Therapy may come to an end when you have met your therapy goals, if we reach a place where you are implementing what you learnt in therapy and shifts are observed or if you are managing better and we agree it is time to end. It may also end if we have contracted for a specific short-term piece of work. When client's graduate from therapy it is not uncommon for them to return for a session or two as needed or to restart therapy as necessary.
Your therapist reserves the right to end therapy at their discretion. Reasons for termination include but are not limited to, untimely payment of fees, failure to comply with treatment recommendations, conflicts of interest, failure to participate in therapy or when your needs are outside of your therapist’s scope of practice, disagreements with our terms in our therapy contract and consent form and/or if you are not making adequate progress in therapy.
If you are using insurance, your health insurance company requires that we end when services are not "medically necessary." This means that they may refuse to reimburse if they don't cover certain diagnoses or concerns that bring you to therapy. Termination may also be necessary when ethical standards of care are compromised or in question.
We will not terminate a therapeutic relationship without first discussing reasons for such decision.
Your therapist will never abandon you.
If therapy is terminated for any reason or you request another therapist, we will provide you with a list of qualified psychotherapists to continue care with. You may also choose someone on your own or from another referral source. Psychology Today is a great resource or your members directory on your insurance website.
If you don't schedule an appointment for three consecutive weeks due to any reason, unless other arrangements have been made in advance, for legal and ethical reasons we must consider the professional relationship discontinued.
This does not mean that you cannot reach back out to resume therapy, but this could mean that we may not have immediate availability to schedule you.
